Every effort will be made to grant employees' vacation preference, consistent with the operating schedule. However, if too many people request the same period of time off, the Agency reserves the right to choose who may take vacation during that period. Employees with the longest length of service generally will be given preference. Vacation requests must be submitted to the managers at least two (2) weeks in advance of the requested vacation dates.

Vacation may be used only in half-day and full-day increments.

Accrued, unused vacation is paid out upon separation.

3-3 Paid Personal Days (Office-based employees only)

Full-time office-based employees are eligible for three paid personal days per calendar year. During the first year of employment, full-time employees hired after personal days are pro-rated. Those hired after June 30 are eligible for 2 paid personal days for the remainder of the calendar year.

Any additional personal time that must be taken by eligible employees will be unpaid.

Part-time employees accrue personal days on a pro-rated basis based on the number of hours worked.

Accrued, unused personal days are forfeited at the end of the calendar year and are not paid out at separation unless otherwise required by law. Personal days do not have to be taken in the year they are earned. They do not carry over to the next calendar year.

Personal days must be scheduled at least two (2) weeks in advance. Management reserves the right in its sole discretion to deny any requests.

3-4 Sick Days (Office Staff Only)

Full-time office-based employees accrue paid sick leave every pay period up to six paid sick days per calendar year (48 hours). If an employee will be absent due to illness, they must call and notify their supervisor as early as possible, but at least two hours before the start of the workday. If an employee calls in sick for three (3) or more consecutive days, they may be required to provide their supervisor with a medical certification on the day they return to work.

Sick days must be taken during the year they are earned. Sick days must be used in half-day or full day increments.

The Employee may use sick leave for the following reasons:

1. To care for the employee’s or a family member’s mental or physical injury or illness. 2. To obtain preventive medical care for the employee or a family member.
